Award type change

Query/ request: User asks for support to change the 'award type' field on an award. 

AMS rule: Once an award is active, the award type field gets locked. As shown below from the data modification rules, user can only edit the field before the agreement workflow starts. 

After the award is active, if the field needs to change then this can be done by level 2 support in an amendment. Steps to follow: 

  1. Ensure there is a reason provided for why the change needs to happen (e.g. award type incorrect on award).  There is no need to ask user for proof of document, however if the change is to contract/ fixed fee award type, we will need to see donor documentation. 

  2. Ensure the award status is at 'amendment requested'. If it is not, ask user to request an amendment. 

  3. Assign the ticket to level 2

  4. Once level 2 changes the award type in the amendment, they will inform the user.

  5. User will need to run the agreement amendment workflow and once this is approved, the change will appear on the live award record.

Award type is directly related to the overall risk of an award. Contract/Fixed fee awards are considered high risk.
Once an award is active, the award type field gets locked. If the award type is incorrect and needs to change, email AMS support. The change will need to be approved via an amendment therefore when you email AMS support ensure an amendment has been requested on the award.  

Message to Level 1 support: if an award type changes to contract/ fixed fee, please alert the user about the risk level change that will happen.
